Clientia for law firms

A workspace as considered as the practice.

Law firms manage complex, long-term client relationships governed by formal agreements. Clientia handles the operational layer: matter engagement letters, retainer billing, obligation tracking, and a client portal that reflects the quality of the practice.

The friction

What most law firms live with.

  1. 01

    Engagement letters scattered across systems

Every client matter begins with an engagement letter. Most practices have these in their document management system, signed by a different tool, and tracked (if tracked at all) in a spreadsheet of active matters. Clientia centralises the lifecycle: draft, negotiate, sign, obligations tracked from the signed document.

  2. 02

    Retainer billing without automation

Monthly or quarterly retainers are manual for most practices — invoice, chase, reconcile. Clientia automates collection on the agreed schedule, sends the client a branded receipt, and reconciles against the engagement record. No separate billing tool required.

  3. 03

Client confidentiality in a consumer portal

Law firms share sensitive documents through generic cloud services that were not built for confidential legal files. Clientia's portal is private, scoped to each client's own records, hosted on the firm's domain, and built on EU/US data-residency infrastructure.

  4. 04

    Obligation deadlines tracked manually

A signed engagement letter creates obligations: the firm to deliver advice, the client to pay, both parties to give notice before termination. Tracking these across 30–80 active matters in a spreadsheet creates risk. Clientia tracks each obligation from the clause that created it.

With Clientia

What it looks like when it works.

Outcome

Matter management in one record

Each client file holds the engagement letter, retainer schedule, matter history, and any license access (for software-integrated practices). Everything accessible by the responsible partner in one workspace.

Outcome

Compliant e-signature via Scrive

Scrive e-signature is legally compliant across EU jurisdictions — EIDAS compliant, with a tamper-evident audit trail. No separate DocuSign or Adobe Sign subscription.

Outcome

EU data residency as standard

Clientia is built on infrastructure with EU data residency as a configurable option — important for law firms subject to GDPR and client confidentiality obligations. Every plan includes encrypted data at rest and in transit.

Outcome

Pricing that respects partnership structures

Law firms add partners without wanting to pay per-seat for every new partner login. Clientia's per-client pricing means the cost is tied to how many client matters you manage, not how many lawyers are in the workspace.

How it works

A typical engagement, handled.

  1. 01
    A new matter opens
Create the client record and draft the engagement letter in Clientia. Add the applicable clauses from the library, set the retainer schedule, and send for e-signature via Scrive.
  2. 02
    Retainer collected on schedule
Clientia collects the matter retainer on the agreed date, issues a branded receipt, and reconciles the payment against the engagement record.
  3. 03
    Obligation tracking active
Every obligation created by the signed engagement letter is tracked — due date, responsible party, status. Nothing falls through the gap between CRM and calendar.
  4. 04
    Matter closes
When a matter concludes, Clientia archives the full record — engagement letter, signed documents, billing history — with a complete audit trail for the file.
Common questions

What law firms ask.

Is Clientia a law practice management system?
Clientia is a client operations platform, not a full practice management system. It handles the client relationship layer — engagement letters, retainer billing, obligation tracking, and a client portal — but does not include time recording, legal matter billing by the hour, docket management, or court deadline tracking. Law firms typically run Clientia alongside their practice management system for the client relationship layer.
Is Clientia's e-signature legally compliant for law firms?
Yes. Clientia uses Scrive for e-signature, which is EIDAS-compliant and legally recognised across EU member states. Each signature is timestamped, identity-verified, and stored with a tamper-evident audit trail. Suitable for engagement letters, NDAs, and client agreements.
How does Clientia handle client confidentiality?
Clientia's data is encrypted at rest (AES-256) and in transit (TLS 1.3). EU data residency is available on all plans. Each client's portal is scoped to their own records only — no client can see another client's data. For law firms requiring a Business Associate Agreement or specific compliance documentation, Clientia's Maison plan includes a BAA.
Can we track billing against retainer budgets in Clientia?
Clientia tracks retainer collection (automated) and can track time billed against a retainer budget if time records are imported. It does not replace a dedicated legal billing system for hourly billing. For flat-fee or retainer-based practices, Clientia's billing module covers the full workflow.
